Record Layouts

Beta Feature

Record Layouts is in beta. It may not be turned on for your account yet. To request access, contact Paminga Support.

Every team reads a record differently. Sales wants owner, stage, and phone up top. Marketing Ops wants lifecycle and source data. Nobody wants to scroll past forty fields they never use to find the three they do.

Record Layouts let you decide how a record's fields are arranged: which fields appear, which section they sit in, whether that section is one column or two, and whether it opens expanded or collapsed. You build a layout by dragging fields into place. Each record type has a default layout, and you can give other layouts a rule that decides which records, and which viewers, get them instead.

Which Records Have Layouts

Record Layouts cover five record types, each on its own tab:

TabWhere the layout shows
ContactThe All Fields tab of a Contact's details
AccountThe All Fields tab of an Account's details
LeadThe Lead create and edit pages
OpportunityThe Opportunity create and edit pages
Custom ObjectA custom object's record create and edit pages. Pick the custom object on the tab.

The Lead and Opportunity tabs appear only if your account uses Paminga's native Leads and Opportunities.

Custom Object Definitions

A Custom Object Definition's own record layout tab shows the same layouts as the Custom Object tab here, for that custom object only.

Access Record Layouts

Go to Account Settings → Record Layouts, then pick the tab for the record type you want to arrange.

Each tab lists that record type's layouts with their name, description, the number of fields they place, and when they were last modified. The layout records currently render with carries a Default chip.

The Default Layout

Every record type has a default layout from the start, named Default Contact Layout, Default Account Layout, Default Lead Layout, or Default Opportunity Layout. Out of the box, each one reproduces the arrangement those pages have always had, so nothing changes for your users until you change it.

Until someone saves a change to a default layout, Paminga keeps it in step with the platform's standard arrangement. Your first save makes it yours.

There is one default per record type. Every record that no other layout's rule takes opens in it, and until you write a rule, that is every record. To switch, open a layout's row actions and click the star (Set as the default … record layout). The previous default stays in your list. The default never has a rule, so making a layout the default removes its rule.

Create a Layout

  1. On the tab for the record type, click Create Layout.
  2. Give the layout a Name (required) and, optionally, a Description.
  3. Click Save.

Paminga takes you straight into the builder. A new layout starts as a copy of the standard arrangement for that record type, so you are editing a complete layout rather than starting from a blank page.

You can also Clone any existing layout from its row actions. The copy is named "Copy of …" and is never the default, which makes cloning the safe way to try out a rearrangement of the layout your team is using today: clone it, rework the copy, and make the copy the default when you are happy with it.

To rename a layout or change its description later, use the pencil icon in its row actions. Clicking the layout's name opens the builder.

Choose Who Gets a Layout

Every layout other than the default can carry one rule, set under Who gets this layout when you create or edit it.

  • The record: add conditions on the record's fields, such as its owner, a dropdown like Stage or Type, or a custom select, multi-select, or yes/no field. Each condition tests whether the field is any of, is none of, is empty, or is not empty. Every condition must hold.
  • The person viewing: Anyone, or People on these teams, so the same record can open differently for different teams.

Rules are tried in order, and a record opens in the first layout whose rule it matches. The default takes everything else. Click Set Order to drag the layouts with rules into the order you want; the default is always last.

The grid's Applies to column shows each rule as a sentence, and Matches shows how many records each layout takes today. A rule that names a field, value, or team that has since been deleted matches nothing and is marked Needs attention until you fix it.

To check a rule before relying on it, click Test a Record. Pick a record and, optionally, the user viewing it, and Paminga walks the rules in order and shows which layout the record would open in and why. Nothing is saved.

Build Your Layout

The builder has two panes. On the left is the Fields palette: every field you can place on this record type, with a search box and All, Standard, Custom, and Unplaced filters. On the right is your layout, section by section.

Place Fields

Drag a field from the palette and drop it into a section's column. The layout moves live as you drag, so what you see while hovering is exactly what you get when you let go. Release over nothing, or press Escape, and everything goes back where it was.

  • Reorder a placed field by dragging it within its column, to the other column, or into another section.
  • Remove a field by clicking the X on it, or by dragging it back onto the palette.
  • Fields already on the layout stay listed in the palette, greyed out and marked Already placed, so the palette always reads as the full set of fields. The Unplaced filter shows only the ones you have not used yet.

Prefer the keyboard? Focus a field or section's drag handle, press Space or Enter to pick it up, move it with the arrow keys, and press Space or Enter again to drop it.

Sections

Sections are the titled groups your fields live in.

  • Add a section with the Add section button below the last one, or hover near the top or bottom edge of an existing section and click Insert Section Above or Insert Section Below.
  • Rename a section by clicking its title, typing, and pressing Enter (Escape abandons the change).
  • Reorder sections by dragging the handle to the left of the title.
  • Section settings (the gear icon) lets you set the Section name, choose 1 column or 2 columns, and turn on Collapsed by default, which opens the section closed on every record until someone expands it. Going from two columns to one folds the second column's fields under the first, so nothing you placed is lost.
  • Remove a section with the trash icon. Its fields are not deleted; they return to the palette.

Blocks

Some parts of a record are more than a single field. These are Blocks, listed under the fields in the palette, and you drag them onto the layout as sections of their own. Each Block can appear once per layout, and you can rename the section it sits in.

BlockAvailable onWhat it shows
PersonasContactThe contact's Persona, with the Classify action beside the section title
Sunset StatusContactThe Sunset Status controls
ICPsAccountThe account's ICPs, with the Classify action beside the section title
CRM RelationshipsAccountThe account's CRM relationships, shown only when a CRM is connected

Custom FieldsAll fiveEvery custom field not placed elsewhere on the layout, alphabetically
Associated ContactsLead, OpportunityThe contacts on the record, with their roles and the primary contact
Related RecordsCustom ObjectThe records this one is linked to through its relationships

Fields You Leave Out

A layout never hides data. Any field you don't place still shows on every record, in a collapsed Other fields section at the bottom. If your layout includes the Custom Fields Block, unplaced custom fields appear there instead. The builder's Other fields card tells you how many fields that currently is.

That makes Record Layouts about emphasis and order, not access. Put the fields people need at the top, and the rest is still one click away.

Required Fields on Leads, Opportunities, and Custom Objects

Lead, Opportunity, and Custom Object pages are also where those records are created, so a layout cannot leave out a field the record can't be saved without. Those fields show a lock instead of a remove button, they can't be dragged back onto the palette, and a section holding one can't be removed until you move the field elsewhere. If a required field ever does end up unplaced, the Other fields section on the record opens expanded so it can't be missed. The same goes for the Associated Contacts Block on Leads and Opportunities and the Related Records Block on Custom Objects: they are the only place those records' contacts and relationships are managed, so every layout keeps them.

Save Your Changes

Nothing reaches your records until you click Save in the bar at the bottom of the builder. Cancel throws away everything since your last save.

Permissions

Record Layouts has its own permission, Record Layouts, under the Administrative category in Permissions, with three abilities:

AbilityAllows
CreateCreating and cloning layouts
UpdateChanging a layout in the builder, renaming it, and making it the default
DeleteDeleting layouts

The Record Layouts item appears in Account Settings only for users holding at least one of these. A user who can see a layout but cannot update it can look around the builder but can't change anything.

When Record Layouts arrived, every role, team, or user that could create, update, or delete Custom Fields received the matching Record Layouts ability. Adjust that in Permissions if it doesn't fit your organization.

Viewing records needs no Record Layouts permission at all. A layout is simply how the record page renders.

Deleting a Layout

Delete a layout from its row actions. The default layout can't be deleted; make another layout the default first.
